Bib Transfer Policy

In plain terms
PassTheBib lists race entries and holds payment in escrow. We do not perform the actual race registration transfer. That happens directly between the buyer and seller, through the race organizer's own official process — off our platform.
We only allow listings for races with a confirmed, official organizer transfer policy. But completing that process correctly, and making sure the organizer has accurate information for the new entrant, is entirely on the buyer and seller — not on us.
1. What PassTheBib does
PassTheBib provides two things:
- a place to list and find race entries that are available for transfer at races with a confirmed, official organizer transfer policy; and
- payment escrow through Stripe, so a buyer's payment is held safely and only released to the seller once the buyer confirms the transfer went through.
2. What PassTheBib does not do
PassTheBib does not process, submit, or execute the race registration transfer itself, and does not communicate with race organizers on your behalf. We are not a party to your race entry, your organizer agreement, or any waiver you sign with the organizer. In particular, we do not:
- confirm with the race organizer, before or after a purchase, that a specific transfer will be approved;
- submit paperwork or requests to the organizer for you;
- guarantee that a race will take place as scheduled, or that an organizer's transfer policy won't change; or
- verify a seller's registration status with the race organizer directly — we rely on the seller's representations, described below, and on Stripe's identity checks for payouts.
You are responsible for completing the organizer's official transfer process yourself, directly with the other party and the organizer.
3. Which races are eligible
We only permit listings for races where the organizer has a confirmed, official policy allowing entry transfers. We deliberately do not list races that prohibit transfers — even informally — because running under an entry that wasn't properly and officially transferred can get a result voided or get an entrant banned from future events.
Eligibility is based on the best information we have at the time a listing is created. Organizer policies can change, or a listing may turn out to be inaccurate; if we learn a race is no longer eligible, we will remove the listing and, where a purchase has already been made and the transfer wasn't completed, the buyer's payment will be refunded per Section 6 below.
4. If you're selling
By listing a race entry, you confirm that:
- you are the person currently and validly registered for that entry, or you are otherwise legally entitled to transfer it;
- you have not already sold, transferred, or listed it elsewhere;
- the race, date, city, and price in your listing are accurate;
- you will personally carry out the organizer's official transfer process with the buyer, promptly after payment is made; and
- you understand that funds are held in escrow and will not be released to you until the buyer confirms the transfer, or until the automatic release described in Section 6 applies.
5. If you're buying
By purchasing a listing, you confirm that:
- you will personally complete the organizer's official transfer process with the seller, using accurate information;
- you meet any eligibility requirements the race organizer has for entrants (such as minimum age or a qualifying time), and it is your responsibility to check these before you buy;
- you are responsible for making sure the organizer has your correct identity, contact, and medical/emergency information as the new entrant — PassTheBib has no way to do this for you; and
- you will confirm through the Service once the transfer is complete, so escrow can release payment to the seller.
6. Confirming the transfer, refunds, and escrow release
- Transfer confirmed: once you, as the buyer, confirm through the Service that the organizer's official transfer went through, escrow releases payment to the seller.
- Seller unresponsive or transfer never completed: if the seller does not complete the organizer's process, your payment stays in escrow and is refunded to you — it is never released to a seller who hasn't completed the transfer.
- Buyer unresponsive: if the seller has completed the organizer's process and the buyer does not respond within a reasonable confirmation window, funds may be released to the seller automatically. Buyer protection isn't meant to create indefinite seller risk.
- Disputes: if a buyer and seller disagree about whether a transfer happened, contact support@passthebib.com and we will review the information available to us and make a release or refund decision in good faith. We are not a court or arbitrator and our decision is based only on the information the parties provide us, not on independent confirmation with the race organizer.
7. Assumption of risk
Participating in a race carries inherent physical risk, including risk of injury or death, entirely independent of PassTheBib. If you buy a transferred entry, you are solely responsible for your own fitness and eligibility to participate. PassTheBib has no role in, and no liability for, how a race is run, any injury or harm connected to participation, or any decision an organizer makes — including refusing a transfer, disqualifying an entrant, or cancelling an event.
8. Fraud and misrepresentation
Listing an entry you're not entitled to transfer, misrepresenting a race's transfer eligibility, or providing false information to a buyer, seller, or race organizer through the Service is a serious violation of our Terms of Service. We may remove listings, suspend or terminate accounts, and reverse payments in response, and may report fraudulent conduct to relevant authorities.
